Hiring a Philippines Property Management VA: The Cost for 50, 100, 250 and 500 Rental Units

A 2026 cost-per-unit analysis of offshore property management staffing, AppFolio support, maintenance coordination, and the true cost of direct hiring versus an EOR or managed agency.

Samarthya Pandey

A property management company with 50 rental units does not need the same offshore staffing arrangement as a company managing 500 units. Yet many virtual assistant providers advertise one flat monthly price without explaining how many properties an assistant can realistically support.

That creates a budgeting problem.

A Philippines-based property management virtual assistant might cost $5, $6, or $7 per hour. But the advertised rate does not answer the questions that determine whether outsourcing actually saves money:

  • How many tenant messages does each rental unit generate?
  • How much employee time does maintenance coordination consume?
  • When does one assistant reach full capacity?
  • How much does unused employee capacity cost?
  • What happens when maintenance requests double?
  • How do direct contractor, employer-of-record, and managed-agency costs compare?

To answer these questions, Ivvora constructed a workload-based staffing model for residential property portfolios containing 50, 100, 250, and 500 rental units.

The central finding: under Ivvora’s baseline assumptions, a 50-unit portfolio generates approximately 27 hours of monthly offshore administrative work, while a 500-unit portfolio generates approximately 194 hours.

That difference changes the most economical staffing arrangement.

For a 50-unit portfolio, part-time task-based support may be sufficient. At 250 units, a dedicated assistant becomes more practical. At 500 units, the modeled workload exceeds one full-time assistant’s sustainable capacity.

These figures are independently modeled scenarios, not universal industry staffing benchmarks.

What Property Managers Say About Hiring Philippines Virtual Assistants

The economic argument for hiring an offshore property management assistant is straightforward: repetitive administrative tasks consume time that a licensed or experienced local property manager could spend on higher-value responsibilities.

But does offshore delegation actually work?

In a discussion titled “Virtual/remote Assistant experience” on r/PropertyManagement, a property manager asked whether outsourcing routine work to a company specializing in property management would be worthwhile.

One respondent described hiring an assistant based in the Philippines and having a positive experience.

When asked what responsibilities the assistant handled, the respondent explained that she already had AppFolio experience, which made the transition easier. Her responsibilities included tenant communication, assistance with screening, work-order billing, utility payment administration, and renewals.

That experience illustrates an important distinction between a general virtual assistant and a property management specialist.

An assistant who already understands AppFolio may need less instruction on tenant records, work-order tracking, renewal workflows, and standard administrative tasks.

However, familiarity with software does not automatically establish how many rental units an assistant can manage. A single favorable Reddit account cannot establish an industry-wide productivity benchmark.

The financial decision still requires a workload model.

Philippines Property Management VA Rates in 2026

Actual 2026 recruitment advertisements provide a useful reference for advertised compensation.

A September 2026 listing from a US property management company offered $6 per hour for a Philippines-based part-time assistant supporting more than 360 homes managed in AppFolio.

The employer sought 20–25 hours of work per week, covering tenant calls, maintenance dispatch, rent reminders, work-order updates, and leasing administration.

The advertisement is especially informative because the company already had an established rental portfolio and was recruiting for defined operational responsibilities rather than advertising a generic VA position.

For the comparisons that follow, Ivvora uses $7 per productive hour as its direct-contractor scenario.

That is a planning assumption rather than a claim that every experienced Philippines property management assistant can be hired at this rate.

How Many Hours of Administrative Work Does One Rental Unit Generate?

The first challenge is separating rental-unit count from administrative workload.

A portfolio of 250 newly constructed apartments with long-term tenants may generate fewer maintenance requests than 250 older single-family rental homes.

The number of units is therefore only one input.

Ivvora estimates offshore administrative demand across six activities:

  1. Tenant messages and routine inquiries.
  2. Maintenance requests and vendor follow-ups.
  3. Rent administration and payment reminders.
  4. Leasing and renewal administration.
  5. Escalation documentation and handoffs.
  6. Records maintenance and quality assurance.

The model excludes onsite inspections, physical maintenance, local emergency response, final financial authorization, and activities that require a licensed professional.

Rent administration0.2592.25
Leasing and renewal tasks0.06352.10
Escalation documentation0.06150.90
Records and quality assurance——2.40
Total22.35

Ivvora also includes eight fixed administrative hours per month for recurring meetings, reporting, workflow reviews, and portfolio-level coordination.

Important methodology distinction: These task frequencies and handling times are original Ivvora modeling assumptions. They are not claimed to be measured industry averages. They provide a reproducible starting point that property managers can replace with their own operational data.

The Workload Formula

The resulting calculation is:

Monthly administrative hours = 8 + (22.35 × rental units ÷ 60)

Or:

Monthly administrative hours = 8 + (0.3725 × rental units)

For example, a 100-unit portfolio generates:

8 + (0.3725 × 100) = 45.25 monthly hours

A 500-unit portfolio generates:

8 + (0.3725 × 500) = 194.25 monthly hours

This methodology is more informative than dividing an advertised monthly salary by an arbitrary number of properties.

It establishes what the assistant is expected to do before calculating staffing costs.

The Results: 50 vs 100 vs 250 vs 500 Rental Units

For capacity planning, Ivvora assumes that one full-time VA can sustainably complete 140 productive task hours per month.

That is lower than the approximately 173 scheduled monthly hours associated with a 40-hour workweek averaged across a year.

The difference allows for internal meetings, routine interruptions, training, administration, and other nonproductive working time.

The 140-hour assumption represents approximately 81% productive utilization. It is a planning assumption, not a legally defined work schedule or a measured industry standard.

Rental Portfolio Staffing Requirements

Portfolio sizeMonthly VA task hoursFull-time equivalent requiredDedicated full-time seats
50 units26.60.191 if dedicated coverage is purchased
100 units45.30.321 if dedicated coverage is purchased
250 units101.10.721
500 units194.31.392

The difference between task hours and employee seats is critical.

A property manager with 50 units may need only 26.6 hours of actual administrative processing monthly. Hiring one dedicated full-time employee would purchase considerably more capacity than the modeled workload requires.

At 250 units, 101.1 task hours would utilize approximately 72% of one full-time assistant’s productive capacity.

At 500 units, the expected workload exceeds the 140-hour planning capacity of one assistant.

That does not necessarily require two completely dedicated workers. One full-time worker combined with part-time support could also cover the modeled hours if schedules, responsiveness, and employment arrangements permit it.

Task capacity is not the same as live availability. A portfolio requiring someone to answer calls throughout US business hours may need dedicated coverage even when its total ticket-handling workload is relatively low.

What Does a Philippines Property Management VA Really Cost an Employer?

A direct contractor’s quoted hourly compensation is not directly comparable to the cost of a locally employed Philippines worker.

Local employment can involve statutory employer contributions, 13th-month pay, and other employment obligations.

Consider a hypothetical experienced Philippines-based property management assistant earning ₱60,000 monthly basic salary.

For consistent comparisons, Ivvora uses a fixed illustrative rate of ₱60 per US dollar.

This is a modeling exchange rate, not a verified market quotation for October 2026.

Philippines Employer-Cost Breakdown

Cost componentMonthly PHPMonthly USD
Basic salary₱60,000$1,000.00
13th-month pay accrual₱5,000$83.33
Employer SSS₱3,500$58.33
Employer Employees’ Compensation₱30$0.50
Employer PhilHealth₱1,500$25.00
Employer Pag-IBIG₱200$3.33
Illustrative night-shift differential₱3,000$50.00
Modeled monthly employment cost₱73,230$1,220.50

The additional costs equal approximately 22.1% of the base salary under these assumptions.

That percentage is not a universal Philippines employer contribution rate. It includes a modeled night premium and 13th-month accrual as well as statutory employer contributions.

Social Security System

Under the contribution schedule effective January 2025, the Philippines SSS social security rate is 15% of applicable monthly salary credit, with 10% attributed to the employer and 5% to the employee.

The maximum relevant monthly salary credit is ₱35,000.

For the employee modeled here:

₱35,000 × 10% = ₱3,500 employer SSS

An additional ₱30 monthly employer Employees’ Compensation contribution applies at the relevant salary level.

Source: Philippine Social Security System — Contributions

PhilHealth

The 2026 PhilHealth contribution rate remains 5% of monthly basic income, subject to the applicable income floor and ceiling.

For employed members, employer and employee generally share the premium equally.

At ₱60,000 monthly salary:

₱60,000 × 5% × 50% = ₱1,500 employer PhilHealth

Source: Philippine Information Agency — 2026 PhilHealth contribution announcement

Pag-IBIG

Pag-IBIG’s contribution rules use a maximum fund salary of ₱10,000, following the increase effective February 2024.

At the applicable 2% employer rate:

₱10,000 × 2% = ₱200 monthly employer contribution

This means the modeled employer contribution does not keep increasing indefinitely with the worker’s salary.

Thirteenth-Month Pay

Covered rank-and-file employees are entitled to statutory 13th-month pay based on eligible basic salary earned during the year.

For an employee receiving ₱60,000 monthly basic salary throughout a complete year, the annual 13th-month amount is ₱60,000.

A monthly accrual of ₱5,000 therefore captures the expected annual obligation.

Source: Department of Labor and Employment — 13th-Month Pay

Night-Shift Differential

A Philippines employee working US business hours may perform work during legally defined Philippine night hours.

Covered employees generally receive a night-shift differential of at least 10% for work performed between 10 p.m. and 6 a.m.

Ivvora’s calculation assumes that half of the worker’s ordinary hours attract this premium, equivalent to approximately 5% of monthly base pay.

That produces the illustrative ₱3,000 monthly differential.

Actual costs depend on the specific Philippine working schedule, employee coverage, and payroll rules. Employers must also evaluate overtime and holiday premiums separately where applicable.

Direct Hire vs Employer of Record vs Managed Agency

The three staffing arrangements have different costs and responsibilities.

A directly contracted worker provides services under a contract, assuming genuine independent-contractor classification is legally appropriate.

An employer of record provides a local employment arrangement, handling defined employment administration and compliance responsibilities while the client directs operational work.

A managed VA agency supplies staffing under a service contract and may include recruitment, employee management, equipment, replacement support, and other services.

The services are not identical, so a fair comparison must disclose what is included.

Ivvora’s Three Pricing Scenarios

Direct-contractor scenario

  • $7 per productive task hour.
  • $60 monthly company-side technology/security allowance for each active worker.
  • Hours purchased according to modeled demand.
  • One active worker at 50–250 units and two at 500 units.
  • Recruitment, training, local oversight, and classification-related obligations are excluded from the base price.

EOR scenario

  • ₱60,000 basic salary.
  • Modeled total monthly employment cost of $1,220.50.
  • Illustrative EOR administration fee of $400.
  • $60 monthly company-side technology/security allowance.
  • Total: $1,680.50 per dedicated full-time seat per month.

Managed-agency scenario

One published example from Neon Link advertises a dedicated Philippines-based property management VA at $2,295 per month on a month-to-month arrangement, with equipment and management included.

Ivvora adds a hypothetical $60 monthly allowance for client-specific security or access expenses that may not be covered by the service agreement.

Total modeled cost: $2,355 per dedicated full-time seat per month.

Source: Neon Link — Property Management VA Pricing

The agency example is one published provider offer, not an industry-wide market average. The $400 EOR fee and technology allowances are Ivvora assumptions rather than provider quotations.

Monthly Cost Comparison by Rental Units

Rental unitsDirect contractorEORManaged agency
50$246.38$1,680.50$2,355
100$376.75$1,680.50$2,355
250$767.88$1,680.50$2,355
500$1,479.75$3,361.00$4,710

For dedicated arrangements, one full-time seat is purchased through 250 units, and two seats are purchased at 500 units.

The direct-contractor scenario instead purchases estimated task hours. It is therefore less expensive partly because it buys a substantially smaller amount of worker availability.

Annual Cost Comparison

Rental unitsDirect contractor/yearEOR/yearManaged agency/year
50$2,957$20,166$28,260
100$4,521$20,166$28,260
250$9,215$20,166$28,260
500$17,757$40,332$56,520

Annual figures represent 12 months of the modeled recurring costs, rounded to the nearest dollar.

They exclude one-time onboarding, recruiting expenses, local manager supervision, property management platform subscriptions, and extraordinary operational expenses.

The direct-contractor option is significantly less expensive in this scenario, but the comparison does not prove that contractors will deliver the same response hours, management oversight, or replacement coverage as dedicated staffing.

The More Useful Metric: Cost Per Rental Unit

A flat monthly VA salary becomes more informative when divided by the number of rental units supported.

Monthly Offshore Cost Per Rental Unit

Rental unitsDirect contractorEORManaged agency
50$4.93$33.61$47.10
100$3.77$16.81$23.55
250$3.07$6.72$9.42
500$2.96$6.72$9.42

At 50 units, a dedicated agency assistant costs $47.10 per unit monthly in the modeled comparison.

At 250 units, the same dedicated agency seat costs $9.42 per unit.

At 500 units, the requirement for a second seat keeps the agency cost at $9.42 per unit.

The same pattern occurs with the EOR arrangement.

This is an example of capacity utilization economics.

Fixed employee expenses are spread across more units as workload increases, until the operation needs another dedicated employee.

Once that threshold is crossed, the added seat creates a step-change in monthly spending.

Cost Per Productive Hour: Why the Cheapest Monthly Rate Can Mislead

Consider a 50-unit portfolio purchasing one dedicated agency assistant.

The company spends $2,355 monthly, but the model estimates only 26.6 hours of relevant administrative work.

Dividing $2,355 by 26.625 actual task hours produces approximately $88.45 per productive task hour used.

At 250 units, the company purchases the same assistant but utilizes approximately 101.1 task hours.

The effective cost becomes approximately $23.29 per productive task hour used.

The contract price has not changed. Utilization has.

Effective Cost Per Task Hour Actually Needed

Rental unitsDirect contractorEORManaged agency
50$9.25$63.12$88.45
100$8.33$37.14$52.04
250$7.59$16.62$23.29
500$7.62$17.30$24.25

These figures divide the total modeled recurring monthly cost by the portfolio’s estimated productive task hours.

They are not the employees’ hourly wages or the providers’ advertised hourly rates.

A dedicated agency could still offer value at low task utilization when guaranteed call coverage, supervision, availability, and continuity are business requirements.

But if the employer needs only a limited amount of asynchronous administrative work, paying for a full-time dedicated worker can create high effective processing costs.

That is why employers should measure both cost per rental unit and cost per productive task hour before choosing a staffing model.

The 250-Unit Portfolio: Where Dedicated Staffing Starts to Make Sense

A 250-unit rental portfolio generates approximately 101.1 hours of monthly administrative work under Ivvora’s baseline assumptions.

One full-time assistant has 140 modeled productive hours available.

That leaves about 38.9 productive hours of capacity.

The company can potentially use this remaining capacity for owner-report preparation, process documentation, leasing inquiries, or additional administrative work, provided the responsibilities are appropriate and authorized.

At this portfolio size, a dedicated employee becomes operationally more reasonable because the modeled workload consumes a substantial portion of available capacity.

However, utilization alone does not determine whether direct contracting, an EOR, or a managed agency is preferable.

A growing property management business may value continuity, scheduled availability, lower recruitment responsibility, and replacement support.

Another company with stable workflows and an experienced internal operations manager may prefer direct recruitment.

The decision should reflect service requirements and total operational costs, not just hourly compensation.

The 500-Unit Portfolio: When One VA Becomes a Bottleneck

The baseline workload for 500 rental units is 194.25 productive hours per month.

One full-time assistant with 140 productive hours cannot complete that workload within the model’s normal capacity.

The shortfall is:

194.25 − 140 = 54.25 hours monthly

A company therefore needs additional capacity.

Possible arrangements include two dedicated employees or one full-time assistant supplemented by an appropriately scheduled part-time worker.

A larger portfolio can also benefit from dividing administrative responsibilities into specialist functions.

For example, one assistant might handle maintenance intake, approved vendor scheduling, ticket follow-ups, and tenant updates.

Another could handle routine tenant communication, leasing administration, renewal tracking, and reporting.

Separating responsibilities reduces the risk that high maintenance activity consumes the time intended for rent administration or lease renewals.

However, assigning responsibilities by specialty does not automatically eliminate the need for cross-training and backup coverage.

A company should also maintain local emergency procedures and clear escalation authority.

The Maintenance Surge: What Happens When Repair Requests Double?

Normal operating conditions can conceal staffing risks.

An aging portfolio, severe weather event, major building repair, or seasonal turnover period can generate substantial additional maintenance activity.

Ivvora models a higher-activity scenario with two changes:

  • Monthly maintenance requests double from 0.30 to 0.60 per unit.
  • Tenant messages increase by 50%.

All other task assumptions remain unchanged.

Normal vs High-Activity Workload

Rental unitsNormal task hoursHigh-activity task hoursFull-time seats under high activity
5026.636.31 if dedicated
10045.364.51 if dedicated
250101.1149.32
500194.3290.53

This stress test exposes a staffing problem at 250 units.

During normal activity, one dedicated worker has approximately 39 productive hours of spare monthly capacity.

Under the higher-activity scenario, the workload rises to more than 149 hours, exceeding the modeled sustainable capacity of one worker.

The company needs temporary assistance, a second worker, suitable additional hours where lawful, or process improvements to maintain its expected service standards.

At 500 units, the high-activity workload reaches approximately 290.5 hours.

That exceeds the 280-hour combined modeled capacity of two full-time assistants.

The conclusion is not that every 500-unit property manager must hire three offshore employees.

Instead, employers should plan for maintenance volatility and determine how additional capacity can be obtained before a workload spike occurs.

The Maximum Number of Rental Units Per Assistant

Using Ivvora’s baseline formula:

Monthly hours = 8 + (0.3725 × units)

And a sustainable capacity of 140 productive hours:

140 = 8 + (0.3725 × units)

Solving for units gives approximately 354 rental units.

This is the mathematical workload threshold in the baseline model.

Under the higher-activity assumptions, the threshold falls to approximately 234 rental units.

Neither figure is a universal property management industry benchmark.

Actual capacity depends on factors including building age, property type, turnover, maintenance quality, owner requirements, automation, local staffing, and the assistant’s responsibilities.

A property management company should use these thresholds as sensitivity tests, then substitute its own operational data.

Software, Security, and Escalation Costs That Do Not Appear in Hourly Quotes

An AppFolio-experienced worker may require less software training, but access to property management software creates security and operational obligations.

Assistants may handle tenant names, addresses, lease information, maintenance records, billing documents, and other personal data.

Appropriate controls should include individual user credentials, suitable authentication, limited permissions, and documented approval processes.

The assistant’s access should not automatically include authority to change payment destinations, approve large repairs, initiate sensitive transfers, or make final tenant-screening decisions.

The $60 per-worker monthly allowance in Ivvora’s cost model is only a placeholder for client-side technology and security expenses.

It is not an AppFolio subscription quotation and does not include the company’s core property management software costs.

The Cost of Local Supervision

Offshore employees also need appropriately authorized local oversight.

To measure this, Ivvora assumes an internal property manager costs $40 per hour on a fully burdened basis and spends additional time supervising the offshore operation.

PortfolioLocal oversight hours/monthMonthly oversight costMonthly cost per unit
50 units2$80$1.60
100 units3$120$1.20
250 units5$200$0.80
500 units8$320$0.64

These are illustrative oversight allowances, not measured industry averages.

They are excluded from the earlier recurring offshore cost comparisons to preserve transparency.

Actual local supervision might be greater during recruitment, onboarding, an employee replacement, or a major maintenance incident.

A managed agency may relieve some HR administration responsibilities, but the property management company still needs internal authority for operational and legal decisions.

What About Replacement and Onboarding?

The recurring cost tables also exclude one-time recruitment, training, and replacement expenses.

These can be significant when workflows are undocumented or a worker has no prior experience with the employer’s software and procedures.

An employer should separately budget for candidate screening, background verification, initial training, paid practice time, supervisor reviews, and documentation.

Replacement policies differ among providers. A managed agency might offer replacement recruitment without an additional placement fee, but the employer can still incur training time and internal supervision costs.

For direct recruitment, the company generally takes responsibility for sourcing and evaluating a replacement unless it separately purchases recruiting support.

These expenses should be recorded as cash costs and internal labor costs when comparing actual proposals.

What Can a Philippines Property Management VA Legally Handle?

Property management includes both administrative tasks and activities involving regulated authority.

Offshore assistants are best suited to repeatable support work with explicit boundaries.

TaskOffshore administrative supportLocal responsibility
Maintenance requestsLog issues, update work orders, coordinate approved vendorsEmergency authority, repair approval, onsite work
Tenant communicationAnswer routine inquiries, document messagesLegal disputes and sensitive decisions
Rent administrationPrepare reports and draft approved remindersFinancial authorization and required trust-account oversight
Leasing inquiriesCoordinate appointments and documentsLicensed activities and final application decisions
Lease renewalsTrack dates and prepare administrative materialsPricing, legal terms, approval
Owner reportingPrepare drafts and supporting recordsFinal financial verification and owner accountability

Some US states regulate property management, leasing, rent collection, tenant representation, and other real estate activities through licensing requirements.

An offshore assistant’s title does not determine whether a task is legally permitted.

Employers should review the rules of the state where the managed property is located, along with contractual obligations and the actual activities assigned.

Fair Housing and Tenant Screening

The US Fair Housing Act prohibits discrimination in covered housing transactions on protected grounds.

Property managers remain responsible for compliance when administrative tasks are outsourced.

Likewise, the Fair Credit Reporting Act may impose requirements when consumer reports are used in tenant-screening decisions, including adverse-action notices under applicable circumstances.

An offshore worker may assist with organizing records or preparing documentation, but employers need appropriate controls over screening decisions, notices, and access to sensitive information.

Philippines Data Privacy Obligations

The Philippines Data Privacy Act and its implementing rules establish obligations for relevant personal-data processing arrangements.

Where the rules apply, outsourcing agreements should address the nature and purpose of processing, security safeguards, instructions, confidentiality, and appropriate data handling.

Cross-border staffing also requires evaluation of the applicable US privacy rules, contracts, and vendor access arrangements.

A Practical 30-Day Test Before Hiring

Property managers can replace generic VA productivity claims with measurements from their own portfolios.

For 30 days, record incoming tenant communications, maintenance requests, vendor follow-ups, rent-related exceptions, lease renewal activities, and issues that need escalation.

For each category, calculate event frequency and actual staff handling time.

The Metrics to Track

MetricFormulaBusiness purpose
Maintenance requests per unitMaintenance tickets ÷ occupied unitsMeasures repair activity
Tenant contacts per unitTenant contacts ÷ occupied unitsMeasures communication demand
Average ticket handling timeAdministrative task minutes ÷ completed ticketsMeasures labor consumption
Escalation rateEscalated cases ÷ cases handledIdentifies remaining local workload

Productive utilizationTask hours ÷ productive capacityMeasures employee capacity usage
Offshore cost per unitOffshore operating cost ÷ managed unitsMeasures portfolio-level spending
Cost per completed taskAllocated operating cost ÷ completed tasksMeasures processing efficiency

Track vacant and occupied units separately where practical.

A vacant property may generate no tenant messages but substantial leasing, turnover, and maintenance administration.

A useful performance review should also monitor response time, unresolved ticket age, unauthorized actions, and tenant complaints.

The goal is not merely to make administrative work cheaper. It is to reduce operational workload without creating additional mistakes or weakening service quality.

Frequently Asked Questions

How much does a Philippines property management virtual assistant cost in 2026?

Selected 2026 recruitment advertisements show compensation offers around $4–$7 per hour for relevant property management support roles. Specialized candidates, dedicated managed services, and legally employed staff can cost more.

The actual employer budget should include purchased hours, staffing arrangements, employment obligations where applicable, equipment, software, and supervision.

Can one Philippines VA handle 100 rental units?

Potentially, for a defined set of administrative tasks. Ivvora’s baseline model estimates approximately 45.3 monthly task hours for 100 units.

That does not mean one part-time worker can provide continuous live coverage or replace a licensed property manager.

How many rental units can one full-time property management VA support?

Under Ivvora’s baseline assumptions, one worker reaches the modeled 140-hour monthly productive capacity around 354 units.

During a higher-maintenance scenario, the threshold falls to approximately 234 units.

These are scenario-specific calculations, not standardized industry capacity figures.

Is AppFolio experience important when hiring a Philippines VA?

It can materially reduce software-related onboarding requirements. Experience with work orders, tenant records, vendor coordination, renewals, and reporting helps an assistant become productive sooner.

Employers should still train workers on company-specific procedures, security controls, and approval requirements.

Is a managed VA agency cheaper than hiring directly?

Not necessarily.

Direct contracting is less expensive in Ivvora’s modeled task-hour comparison because the employer pays for estimated hours rather than an entire dedicated seat.

Agencies may provide management, recruitment, equipment, replacement support, and scheduled availability that justify their higher prices for some businesses.

Should a 250-unit portfolio hire a full-time virtual assistant?

A dedicated employee is worth evaluating. The baseline workload of approximately 101 hours monthly would consume about 72% of the model’s sustainable productive capacity.

However, live coverage requirements, maintenance frequency, internal management capacity, and the price of flexible staffing can change the decision.

How many offshore assistants does a 500-unit portfolio need?

Ivvora estimates approximately 194 monthly productive task hours under baseline assumptions.

That exceeds the capacity of one modeled full-time worker.

Two dedicated assistants or one full-time assistant with supplementary capacity are possible arrangements, depending on service hours and operational requirements.

Can a Philippines VA replace a US property manager?

A remote assistant can perform many administrative functions, but does not automatically replace the local operational accountability, licensing, legal authority, physical presence, or oversight required to manage properties.

Outsourcing should be organized around specifically authorized tasks.

Conclusion: The Real Cost Is Determined by Utilization, Not the Hourly Rate

The decision to hire a Philippines property management virtual assistant should begin with the workload generated by the portfolio, not an advertised monthly salary.

Ivvora’s original model produces these baseline estimates:

Rental portfolioEstimated monthly task hoursStaffing approach to evaluate
50 units26.6Flexible part-time administrative support
100 units45.3Structured part-time support with separate coverage
250 units101.1Dedicated employee or substantial part-time allocation
500 units194.3Two dedicated seats or a mixed-capacity team

At 50 units, a full-time employee may have substantial unused task-processing capacity.

At 100 units, part-time support can remain economical when live coverage and emergency response are addressed separately.

At 250 units, the administrative workload becomes substantial enough to justify evaluating dedicated staffing.

At 500 units, capacity planning becomes essential because routine demand already exceeds one employee’s modeled productive hours.

The most important lesson is that the cheapest hourly rate is not necessarily the lowest operational cost, and the cheapest monthly arrangement is not necessarily the most reliable staffing plan.

A well-designed offshore property management operation measures cost per rental unit, cost per completed task, employee utilization, local manager oversight, response times, and quality of service together.

Employers should also stress-test staffing capacity against higher maintenance activity rather than designing their entire operation around an average month.

For property managers considering Philippines virtual assistants, the better question is not simply how much a VA costs.

It is how much reliable administrative capacity the portfolio needs, which tasks can safely be delegated, and how that capacity changes as the business grows.

About Ivvora

Ivvora analyzes international hiring costs, workforce expenses, employer obligations, and cross-border operating decisions using transparent, scenario-based financial models. The purpose of this analysis is to help companies compare offshore staffing options using measurable workload and fully disclosed cost assumptions rather than advertised hourly rates alone.

Ivvora provides research and planning information. Country-specific legal, employment, tax and payroll decisions should be reviewed against current requirements and the facts of the individual case.
